How do I use the store's Waiting List option?

The following article relates to the Waiting List function which is available on the Shift4Shop Pro plan and higher; including the Free End-to-End eCommerce Plan.

As discussed in our Inventory Control article (viewable by clicking here), when an item is out of stock, you can configure the store to specify the product's availability as "Use Waiting List"

This is a setting which will allow your customer to be placed on a waiting list for a product when it is out stock. The waiting list function will allow them to input an email address which will be used to notify them of when the product stock is replenished

From the main admin panel, you can review the requests and email your customers to let them know the products have replenished.


Managing Waiting Lists

To Manage your waiting list requests, log into your Shift4Shop Online Store Manager and, using the left hand navigation:

  1. Go to Products >Waiting List
  2. If necessary, click on the "Filters" button to filter your product view by product name, category,distributor, manufacturer or price range

On the main Waiting List you will be presented with an "at-a-glance" listing of your waiting list products. This page will contain the following information:

  • SKU
    The product's unique ID/SKU number
  • Name
    The product's name
  • Stock
    how much of the product is currently in stock
  • Customers
    New/Total: How many customers have placed a waiting list request for the products.
    (You can also view the full list of customers if desired*)
  • Action
    The "Action" drop down will contain the following options:
  • View Product
    Takes you to the product in your Online Store Manager to review its stock and other factors
  • View Customers
    Takes you to a listing of the customers on the waiting list for the product. This view allows you to see the customer's name, email and contct phone number as well as whether or not they've already been contacted about the product's replenishment. You can also delete the customer from the waiting list on this page.
  • Notify New
    After the product has been replenished, you can use this option to notify any new waiting list users that have not yet been contacted
    Note: This option will not display if there is no stock on the item
  • Notify All
    After the product has been replenished, you can use this option to notify all customers on the product's waiting list.
    Note: This option will not display if there is no stock on the item
  • Delete
    This will delete all waiting list submissions for the product.

Note:
By default, the actual sending of waiting list notifications will be a manual process using the actions listed above. However, there is also an automated script that can be turned on which will automatically send these notifications for you. CSV Export

You can also export the waiting list items in the form of a CSV file. While viewing your Waiting List items:

  1. Look to the top right of the page and click on the "Export" button
  2. In the Export section, click on the "+" icon next to "Product Waiting List"
  3. And Export your data.

The resulting CSV File will contain the following Columns:

  • SKU
  • Product
  • Name
  • Stock
  • Total Customers
  • New Customers
