How do I use the File Manager?

 

Images for your store can be uploaded using the File Manager found inside your Shift4Shop Online Store Manager.


Accessing the File Manager

  1. Log into your Shift4Shop Online Store Manager
  2. Look to the top right of the page an click on your username
  3. Then select "File Manager" to view your file manager section

Note
The file manager can also be accessed in sections where you assign images to various aspects of your site including logo, product images etc. Typically, you'll see a "browse" link followed by an option to view your uploaded images.


Adding new images to the File Manager

  1. While in the file manager, click on the +Upload Files button located along the top right.
  2. In the pop up window, click and drag images from your desktop to the file manager.
  3. Select Upload all to have the images added.

Note
You can also use FTP to add images to the file manager. Just FTP to your account and navigate to web/assets/images


Adding Unsplash images to the File Manager

To add images from the Unsplash free stock image database

  1. While in the file manager, click on the Free Photos button located along the top right.
  2. Enter a search word or phrase for images and click on the "Search" button
  3. Click on an image to download it to the File Manager

Note
When you click on the desired photo, you will briefly see a circular load icon on the image to indicate it is being downloaded. Once it's done, both versions of the image (large and small) will be found within the File Manager's Unsplash folder


Working with Folders in the File Manager

You can create different folders in the File Manager and use them to organize your images.

Create a new folder

While in the File Manager,

  1. Click on the "Select Folder" drop down menu
  2. Select the final option labeled "Images/<Create new folder>
  3. Then specify a name for the new folder
    (make sure the folder name itself does not contain any spaces)
  4. And click on the "+Create Folder" button.

Navigating to folders

While in the File Manager,

  1. Click on the "Select Folder" drop down menu
  2. Select the folder you'd like to view.

The page will refresh and you will be presented with the folder you selected.

Assigning images to folders

As you are viewing the file manager, each image will have a small checkbox selector on the top left corner. This checkbox is used to select the image for use with one of the "Batch Action" functions located at the very bottom of the page.

Your Batch Action Choices are:

  • Move to Folder (/[folder name])
    Move the selected files to the folder of your choosing
  • Resize (Large)
    Resize the file so that it conforms to the store's "Large Image Size" for products.
    This size can be specifed in your store's Settings >General >Store Settings | Product Display section.
  • Resize (Thumb)
    Resize the file so that it conforms to the store's "Thumbnail Image Size" for products.
    This size can be specifed in your store's Settings >General >Store Settings | Product Display section.

Additional Information
Please be aware that the resize function in Batch Action will only resize images if they are larger than the indicated settings. Image resizing will not enlarge images.

  • Delete Selected
    Deletes the selected image from the File Manager

Be aware that the file manager can only be used to upload media files (image, audio, and PDF).

When uploading images to the store via the file manager, please be sure to name the image files without spaces in the name. (i.e. use "product-image_01.jpg," instead of "product image 01.jpg."

Also note that that the image files should be saved with their respective 3-letter extensions to be uploaded correctly via the file manager. (i.e. use *.jpg instead of *.jpeg)

Important
Please note that if you have an excessively large image folder with a large amount of folders within (5000 or more folders specifically), you may receive a prompt to use the search bar when trying to navigate to a folder. This message will read "Too many folders to browse. Please use the search box."

In these instances, you will be required to use the search bar instead to ensure site stability and performance. This is expected behavior.

Tip
The file manager will allow upload of files that are (individually) up to 25 MB in size. For larger files, it will be best to use your site's FTP access instead.

If you would like to upload to the same folder as seen in your File Manager, the path to the folder (in FTP) will be /web/assets/images

Be aware however that there may be a delay between uploading files via FTP and when they will be visible from within the file manager interface. This is due to the time it will take to index the FTP'd files into the File Manager's view and will depend on the size of the files being uploaded from FTP.

You may initiate a re-index of the files (after FTPing) by clicking the "Index Files" button located at the top right of the File Manager. Note however that you must wait 30 minutes between each use of the "Index Files" button. Therefore, you may want to wait until all of your files are uploaded via FTP before re-indexing.
