How do I use Endicia Galaxy with Shift4Shop?

 

Endicia allows you to print postage labels for your Shift4Shop orders. Your Shift4Shop store, can export your order information in a format that will be read by Endicia for the generating of said labels.

However, before you get started, there are a couple of things that need to be done on your Endicia Galaxy configuration in order for data to be transferred from the Shift4Shop Store. This guide will take you through the steps necessary for the integration.

You must have an Endicia account and Galaxy installed on your computer for this to work. If you do not currently have Galaxy, please contact Endicia, then start this guide.


Exporting the Galaxy Export File

To get started:

  1. Log into your Shift4Shop Online Store Manager:
  2. Use the left hand navigation menu to go to Modules
  3. Use the Search bar at the top of the page to search for "Endicia"
  4. When the module appears, click on the "Endicia Galaxy" link

Once there, select a date or invoice number range for the orders that you'd like to export as well as the status the orders are in.

  1. Click "Export" at the top right to generate your file.

Once the export is completed, you will be prompted to save the file to your computer. Please store it some place easily accessible for use later. We suggest your computer's Desktop


Configuring your Computer's Database

Next you will need to configure your computer to use this downloaded file and your Endicia program correctly.

(On your computer):

  1. Go to Start >Control Panel >Administrative Tools >Data Sources (ODBC)
  2. Under User DSN, click “Add”
  3. Select “Microsoft Access Driver”
  4. Under Data Source Name, enter “GALAXY”
  5. Click Select, and find the galaxy file you downloaded in step 1.
  6. Click OK

You may now close the ODBC Data Source Administrator window.


Configuring Galaxy

Start up the Galaxy software on your computer

  1. Once the application loads, go to Edit >Preferences
  2. Click on the "Database Setup"
  3. Click on [Edit Source Data Map]
  4. Under ODBC data source, click SELECT, a list of sources will appear.
  5. Find and select “GALAXY” then click OK
  6. Under Table, click select, then from the drop down selection, select EXPORT
  7. On ReferenceID, click select, then from the dropdown select ORDERID
  8. On Service, click select, then from the dropdown select SERVICE

Note
If your shipping method names are not the same as USPS names them, (ie. Express Mail is labeled “Express” on your shopping cart settings), then please complete the following step.

Click on Mail Class and select the USPS method from the drop down. Then, in the text box, enter the name for the shipping method as you have it defined on your Shift4Shop store's settings.

Next, click on the RECIPIENT ADDRESS Tab.

The recipient address fields need to be mapped. The process is the same as you just did for referenceID and Service.

You need to complete at least:

  • NAME
  • Address 1
  • Address 2
  • City
  • State
  • Zip
  • Country

Once you’ve mapped all the fields, you may click OK on the bottom of the window. Next, we'll configure the Post-Back options which will allow you to add tracking numbers to your Shift4Shop store.

  1. Click on [Edit Post-Back Data Map]
  2. Under ODBC data source, click SELECT and a list of sources will appear.
  3. Find and select “GALAXY” then click OK
  4. Under Table, click select, then from the drop down selection, select Tracking
    Only 2 fields need to be mapped in this section:
    • ReferenceID with (ORDERID)
    • and Tracking Number with (trackingcode)
  5. Once you’ve mapped both fields, click OK

Configuration is now completed and you're ready to perform your first Import.


Importing Data Into Galaxy

  1. Log into your Shift4Shop Online Store Manager:
  2. Use the left hand navigation menu to go to Modules
  3. Use the Search bar at the top of the page to search for "Endicia"
  4. When the module appears, click on the "Endicia Galaxy" link

Once there, select a date or invoice number range for the orders that you'd like to export as well as the status the orders are in.

  1. Click "Export" at the top right to generate your file.

Once the export is completed, you will be prompted to save the file to your computer.

  1. Start up the Galaxy software on your computer
  2. On the ReferenceID enter order # and press Enter.

The information for the order is pulled up.

  1. Make any changes, and print the label when ready.

Once you’ve printed all of your labels, you will want to import the tracking information back to your Shift4Shop store.


Importing Endicia Galaxay data to Shift4Shop

Step 1- Extracting information from Galaxy

Assuming that you’ve just printed your labels from Galaxy:

  1. Go to: Tools >Post-Back Data
  2. Click Select ALL
  3. Click Post Selected.

Step 2 – Uploading information to Shift4Shop

In your Shift4Shop Online Store Manager:

  1. Use the left hand navigation menu to go to Modules
  2. Use the Search bar at the top of the page to search for "Endicia"
  3. When the module appears, click on the "Endicia Galaxy" link
  4. Look towards the bottom and click on the Browse button under "Import Tracking Numbers"
  5. Locate the galaxy file you’ve exported from Endicia
  6. Click ok
  7. Click Import File.

The import process begins and will:

  • Tag orders as “SHIPPED”
  • Will add tracking information to order
  • Will email customer order tracking information
